• Most charter programs require a minimum of 25 participants to result
in overall program costs, per participant, that most people
find reasonable given the nature of the trip, the destination and the overall
type of activities.
With fewer than 25 participants, the cost per participant increases significantly
and may cause your organization’s members to avoid participation.
• It usually takes us eight month to set up a charter program,
and allow you the time to effectively market the program to your members.
• Elderhostel offers over 9,500 programs, both
domestic and international. Some of these programs involve physical activity
– such as hiking or biking; others are more lecture based. It is
important that you think about the interests
of all members. Reaching a consensus on the program that most people
want will help you with the marketing of the program and its success.
Many organizations poll their members to
help select a program. Our online catalogs at www.elderhostel.org
and www.roadscholar.org
provide extensive information about each of our program’s contents.
• Most programs have a minimum number of participants needed to
make them successful. We will review that minimum with you before proceeding
with actual development of your charter program.
• To charter a program, once the program is open for registration,
we require a $500 deposit. If you do not reach the minimum number of participants,
this deposit will not be refunded.
• Elderhostel is responsible for all the program
logistics, registrations, program materials and handling all monies that
come in for program registration.
• All marketing of a charter program to your members is handled
by you. We will be glad to provide any recommendations that you may find
helpful, but we do not conduct any marketing activities on your behalf.
• Any use of the Elderhostel name, logos or other company information
must be review with us and approved in writing before use by your organization.
